The agreement is signed and the creator is waiting for the next step. Then an internal message arrives: the brand is canceling the project. A quick apology is easy to send, but the creator may already have drafted a script, reserved time, or received products. Those loose ends need their own answers.

**Check the decision and existing terms, then separate what should stop, what has already happened, and what still needs resolution.** Give each open item an owner and a response date. Receipt of a notice, work stopping, and outstanding payments being resolved are separate outcomes.

In a [Reddit question](https://www.reddit.com/r/UGCcreators/comments/1ld99wn/rejected%5Fafter%5Fcontact%5Fsigned/?ref=blog.onecrewai.io), a creator says a brand signed an agreement, later said approval was pending, and eventually canceled because it wanted higher engagement. The creator was unsure how to respond. They also clarified that a trip mentioned in the account was personal, rather than approved project work. That distinction matters when checking what was actually committed or incurred.

## 1\. Confirm the internal decision before contacting the creator

Ask the person authorized to decide whether the brand is ending the engagement or only pausing a specific task. Identify the affected scope, deliverables, and dates. Separate confirmed decisions from questions still under review. If the decision is only to pause, describe it as a pause.

Gather the signed version, subsequent confirmations, and current progress records. Note the original production and publication dates, what the brand has supplied, and the creator’s latest reported status. Use a verified, appropriate explanation rather than inventing a more comfortable reason for the change.

**OneCrew is an AI workspace for organizing creator information, outreach conversations, and collaboration follow-up.** Give the connected AI the relevant agreement and progress information, and ask it to combine those materials with recorded messages into a timeline and a list of unresolved facts. Check the underlying evidence before drafting the notice.

Have the person responsible for the agreement check any notice method, notice period, or cancellation provisions before settling the process. If a financial item is still being reviewed, identify who will answer and when. An initial update does not need an unsupported figure to sound complete.

## 2\. Confirm production and publication actions separately

Identify tasks that could continue creating work or go live under the old schedule. Name the affected asset, post, or assignment, then ask for its current status and confirm the next action.

“Please stop filming the product B demonstration” and “Please check whether the scheduled product A post can be removed from the queue” are different requests. Content already public needs a separate review of the existing retention and usage arrangements. A general cancellation message leaves too much to interpretation.

Include four things in the operational update:

- The specific content and original timing affected.
- The proposed stop, hold, or retention arrangement after checking the existing terms.
- The status you need the creator to confirm and a reasonable response deadline.
- The person to contact if that action cannot be completed.

Follow up on the result. “Received” does not necessarily mean a scheduled post has been changed. Ask for confirmation of the specific action. If the creator is temporarily unreachable, use the established contact channels and tell the internal owner which facts remain unknown.

The AI connected to OneCrew can organize recorded replies into confirmed stops, unresolved scheduling actions, and existing live content. Use that list to prepare a follow-up covering only the gaps, with the original replies available for anyone taking over.

## 3\. Resolve the remaining items with a shared checklist

Ask the creator to confirm completed work and relevant costs already incurred, with supporting records. The brand should list payments already made, files received, and applicable commitments. Have the responsible people reconcile the information and agree on the next actions. Where there is disagreement, preserve both accounts and the evidence.

This checklist organizes that discussion without assuming a standard cancellation fee.

| Open item | What to check | Evidence of resolution |
| --------------------------- | ----------------------------------------------------------------------------- | ------------------------------------------------------- |
| Completed work | Scripts, filming, edits, current outputs, and approval records | Agreed work summary and treatment |
| Costs and payments | Deposits, approved purchases, other relevant expenses, and supporting records | Confirmed amount, payment method, and actual outcome |
| Samples and loaned items | Current location, whether items stay or return, and who arranges transport | Agreed instructions and handover confirmation |
| Files and footage | Delivered and outstanding assets, locations, and intended handling | Specific versions and receipt by the responsible person |
| Published or active content | Posts or ads still in use and the relevant terms | Confirmation that the agreed action was carried out |
| Unresolved questions | Differences, missing information, and the person expected to answer | Supported decision and completion date |

Stopping new production does not, by itself, explain how long existing assets may be used. Receiving files also does not settle a proposed new use. Have the content owner check those questions against the specific agreement and keep them open until they are resolved.

Confirm receipt, stopped work, and resolved follow-up items separately.

Add the confirmed checklist, evidence links, and remaining questions to the creator’s existing OneCrew notes. The connected AI can summarize the supplied records for you to check. Distinguish a proposed action, an agreed action, and a completed action; a planned payment date is not a record of payment received.

## 4\. Send a notice with a plan and room to respond

The following email is for a brand that has decided not to proceed and is checking the closeout arrangements against the existing agreement. Have the agreement owner confirm any required formal wording or delivery method before use.

> Subject: \[Project\] — change of plans and remaining items
>
> Hi \[name\],
>
> I’m sorry, but because of \[confirmed reason\], we have decided not to proceed with \[specific scope\]. This affects \[content and original production/publication dates\], and we recognize the impact on your plans.
>
> We are reviewing the next steps against \[agreement/version\]. For current work, we propose \[specific stop or hold instructions\]. By \[date and timezone\], please confirm your current progress and whether those actions have been completed. If anything cannot be changed, please tell us its actual status.
>
> Our record of completed work is \[supported details\]. The verified costs and payment status are \[details\]. Please flag omissions and share the relevant records. \[Owner\] will review the proposed treatment with you by \[date\].
>
> \[Checklist/version\] covers products, files, and published content, with \[contacts\] handling those items. The questions still under review are \[specific issues\]. Our next update will be \[date and timezone\].
>
> Thank you for the work you have already put in. Please correct anything we have recorded inaccurately. I will coordinate the remaining communication so you have one contact throughout.

Ask the AI connected to OneCrew to compare the draft with recorded messages. Check that it has not presented unknown progress as fact or an internal proposal as a mutual agreement. Before sending, verify the reason, affected scope, and response dates, and complete every placeholder.

If the creator disputes an item, address that specific difference. For an additional approved location expense, check the approval message and cost evidence. Send agreement or payment questions requiring further judgment to the responsible person with the complete records, then give the creator a clear answer.

## 5\. Close the engagement based on outcomes

Check whether the notice was received, production and scheduling actions were completed, costs were reviewed and settled as agreed, products and files were handed over, and existing content was handled. Keep an owner and next response date for anything still open.

If the project is delayed and will resume, use the [creator update guide for a product launch delay](https://blog.onecrewai.io/en/product-launch-delay-creator-updates/). If the plan is to continue under revised commercial terms, discuss that as a change to the engagement. Make the intended outcome explicit in the communication.

When a signed partnership is being canceled, start in OneCrew with the original commitments and latest recorded progress. Build the open-item checklist, then prepare a notice with named owners and response dates. A clear closeout comes from resolving those items, not simply sending the cancellation message.
