Marketing wants a new opening. Product spots an incorrect specification. Your manager asks for another location. Forward all three messages and the creator has to ask whose instructions take priority. When the next cut arrives, someone realizes they reviewed a different version.

Before forwarding anything, **align the video version, separate corrections from creative suggestions and additional work, and have one owner approve the final list.** The creator needs to know what to change, which source to follow, and what a completed revision looks like. Keep unresolved internal decisions within the team.

## Make sure everyone reviewed the same version

Identify the file, link, and version for the current round—for example, “organizer-review\_v03.” Ask each reviewer to name that version and use timestamps to locate their comments. If someone replaces the video at the same link, record the upload time too. Otherwise, a colleague may be commenting on a shot that has already changed.

When versions differ, ask the reviewer to check the current cut again. Do not carry every old comment forward or request a reshoot on the assumption that a problem probably remains. Use the approved specification sheet for product facts and the agreed brief for the communication goal.

OneCrew is an AI workspace for creator profiles, contact details, and outreach records. Ask your connected AI to read the relevant recorded conversations, then provide the current video version, approved brief, and any feedback held elsewhere. Have it list the source, version, and timestamp for each comment. Flag missing version details so the owner can check the video before proceeding.

## Classify the feedback before choosing what to send

“That statement is inaccurate” and “I do not like the opening” need different treatment. Corrections need a reliable reference. Creative suggestions need a reason. An extra scene or reshoot needs a discussion about whether it belongs in this round. Consider this hypothetical organizer review:

| Type | Original comment | What to do with it |
| ---------------------- | --------------------------------------------------------- | -------------------------------------------------------------------------------------------------------------------- |
| Factual correction | “The capacity at 00:18 is wrong” | Check both caption and narration against the approved specification sheet; link to that reference |
| Creative suggestion | “The opening needs more impact” | Explain that viewers should understand the storage problem sooner; ask for an opening that suits the creator’s style |
| Additional work | “Add a wardrobe scene” | Ask about feasibility, timing, and additional cost before including it |
| Conflicting directions | “Start with specifications” versus “Show it in use first” | Have the campaign owner choose a direction using the brief, then send one instruction |

The owner’s job is to make decisions, not turn every suggestion into a requirement. For contradictory comments, record the options, the problem each is trying to solve, and who will decide. Set an internal feedback deadline for the round so colleagues can contribute before the creator receives the consolidated response.

Ask the AI to organize this table from the conversations recorded in OneCrew and the material you supply, keeping the original references. The owner can then label items “confirmed for this round,” “needs discussion,” or “not proceeding” before the AI prepares the outgoing draft. This preserves the reasoning while giving the creator a settled set of instructions.

Align the version, then consolidate the agreed feedback into one list.

## Specify the location, action, and review criteria

“Make it more premium” or “Speed it up” leaves too much to interpret. Each usable comment should identify **the version and location, the requested change, the source or objective, and how the change will be checked.** For creative choices, explain the goal and leave room for the creator’s approach. Agree on any additional filming first.

Use this record for one revision, replacing the brackets with the actual details:

> Version: \[video filename and link\]; Location: \[00:18–00:22\]; Type: \[factual correction\]; Issue: \[caption differs from the specification sheet\]; Change: \[update the caption and check the narration\]; Reference: \[approved specification sheet and version\]; Review criteria: \[caption and narration in this segment match the approved information\]; Approved by: \[name\].

A creative request could read: “We want viewers to understand the overcrowded drawer in the first five seconds. Could you adjust the opening using existing footage, in your usual style? If this requires a reshoot, please let us know the timing and cost first.” That gives the creator a goal without assuming additional filming is included.

Save the approved version link, revision list, and next action in the creator’s OneCrew notes. Have the AI use that same record when preparing the next email, then ask the owner to review it before sending. A teammate taking over can find the agreed instructions. For deciding who should continue the conversation, see the [pre-send identity and ownership checklist](https://blog.onecrewai.io/en/prevent-duplicate-influencer-outreach/).

## Send a feedback email the creator can act on

Name the video version first, then separate confirmed revisions from new requests that need discussion. Include what the creator actually needs to do, rather than appending the entire internal conversation. Use this template after the team has resolved its conflicting directions:

> Subject: \[Campaign\] — consolidated feedback on \[video version\]
>
> Thanks for sending \[version/link\]. We have consolidated this round of feedback. \[Owner\] will be your contact for the remaining revisions.
>
> Confirmed changes for this round: 1\. \[Timestamp\]: \[specific change\]. Reference: \[approved source\]. We will check that \[completion criteria\]. 2\. \[Timestamp\]: \[specific change\]. The goal is \[audience or communication objective\]; please keep the delivery in your own style.
>
> One separate request to discuss: \[additional shot or other work\]. Please let us know whether it is feasible, the time needed, and any additional cost before proceeding.
>
> Could you confirm that the revisions are clear and whether you can return the next cut by \[date, time, and time zone\]? If that timing does not work, please suggest an alternative. This feedback applies to \[version\]. We will consolidate and confirm any further requests separately.
>
> Thanks, \[name\]

Give the confirmed list to your connected AI to prepare the draft through OneCrew. Before sending, check the version, recipient, reference links, and deadline. Keep an unapproved reshoot out of the confirmed revision list, and check that the draft does not commit to a budget or date the team has not agreed.

## Review the new cut against the same list

Check each confirmed item and mark it “complete,” “still needs a change,” or “needs agreement.” For anything outstanding, point to the original item and its location in the new cut. Explain what still differs from the agreed requirement, rather than restarting with “the overall feel is not right.”

If you discover a new factual error, explain the issue and its supporting source. Discuss new creative preferences separately. Confirm any changes to scope, revision rounds, or timing instead of treating a new idea as unfinished work from the previous round.

Ask the AI to summarize the reply and review results, then update the version, outstanding items, and next action in OneCrew. Once the list is complete, explicitly confirm that the revision round is closed. State whether the next step is publication approval, going live, or submitting another item. A bare “OK” leaves too much to guess.

Start with one current video in OneCrew: one version, one approved revision list, and one contact owner. Clear feedback should tell the creator both what needs to change and when this round is finished.
