Tracking says delivered. The creator sends a photo of a damaged sample and says they cannot film with it. The draft was due tomorrow, while the warehouse is still asking whether the carrier caused the problem. **First establish whether the product can be used, then agree on replacement parts, an exchange or a pause.** Confirm a new filming date once a usable sample and the necessary testing time are established. Delivery is not the same as readiness to film.

In [one product-recipient's account](https://www.reddit.com/r/Influenster/comments/1vjfsc0/damaged/?ref=blog.onecrewai.io), furniture arrived damaged and missing assembly parts. After opening a support ticket, they were unsure what would happen next. For a creator collaboration, the brand needs to provide an owner, a practical next step and a time for the next update.

## Collect the missing details without restarting the conversation

Review the messages already received, then request only the necessary gaps: project, model or color, delivery date, the damaged or missing part, and photographs that help assess it. Forward existing information to the appropriate colleague so the creator does not have to repeat it separately to outreach, support and the warehouse.

If the sample has damage or leakage that raises a possible safety concern, ask the creator to pause that use while the product or support team assesses the next step. Distinguish damaged outer packaging from a product that cannot be used. A photograph alone should not become a premature allocation of blame.

OneCrew helps teams organize creator details, email and collaboration records. Save the original feedback, evidence location, affected filming task and handling owner in the corresponding record. A colleague can then see that the work is waiting on sample resolution, rather than assuming the creator has missed a deadline without explanation.

## Agree on the remedy before promising a new delivery date

Have the authorized owner decide whether to send missing parts, exchange the item or adjust or cancel the physical-product shoot. If the original sample needs to be returned, explain the method, costs and timing. Do not leave the creator to arrange and pay for a return without an agreement.

If the replacement is a different model or color, get the creator's agreement and update the brief. The warehouse should not send a substitute while outreach continues requesting the original product demonstration. Agree separately on any added work or fees.

Track the stages distinctly: replacement arranged, estimated arrival, received and checked, and revised delivery agreed. An estimated arrival supports planning; a usable sample and enough experience time support a filming commitment. If the campaign date cannot move, assess alternatives internally before presenting an arrangement to the creator.

![The process moves from checking the problem to replacement, usability confirmation and a new shoot date.](https://storage.ghost.io/c/2d/ee/2deeacfe-d870-4a0c-a406-95a0ad33ad67/content/images/2026/09/creator-damaged-sample-replacement-body-en.png)

Confirm the replacement is usable before agreeing to a new shoot date.

## Reply with an arrangement the creator can act on

> Subject: \[Product/project\] sample issue and next steps
>
> Hi \[name\], thank you for explaining \[specific damage or missing item\]. We have passed \[existing materials\] to \[owner\]. We still need \[one necessary detail; delete if none\].
>
> The confirmed plan is \[parts/replacement/other arrangement\]. \[Shipping information\] is currently an estimate, and we will share updates. For the original \[deliverable\], please follow \[the confirmed pause or adjustment\].
>
> Let us know once the usable sample arrives and has been checked. We can then confirm the experience time you need and a revised filming schedule together. We will send the next update by \[specific date and time\], even if some items are still unresolved.

If the remedy is not confirmed, replace that line with the actual status and a time for the next answer. Do not promise same-day dispatch just to make the reply sound decisive. Use the current record in OneCrew to prepare the email draft, then check the owner and dates before sending.

## Do not close the task when the replacement ships

- **Confirm the item:** ask the creator to check the agreed model, components and obvious condition issues.
- **Confirm readiness:** establish whether assembly, installation or testing is still required, and whether the original location or people remain available.
- **Confirm the revised arrangement:** agree on the submission date, any affected posting plan and additional work.

Update the same OneCrew record with those replies, retaining the original deadline and reason for the change. If the replacement is usable but the date is not agreed, record precisely that state. Do not mark the whole task complete early.

If the disruption affects the wider launch, see [how to update creators when a launch is delayed](https://blog.onecrewai.io/en/product-launch-delay-creator-updates/). For this individual sample, start with the original feedback in OneCrew and add the agreed remedy, owner and next update time. That gives the creator a clear answer about what to do now.
