The creators arrived on time and took plenty of photos. Later, your team discovers that nobody captured the first product demonstration or the reveal you needed. Attendance was organized; coverage was not.

**Confirm attendance and content obligations separately, then assign the important moments to specific creators, positions, and on-site contacts.** The brief should focus on events that cannot simply be filmed again.

## Identify the moments you cannot recreate

Review the event schedule and choose the essential demonstration, interaction, or contribution. Explain why each matters: should viewers understand how a product works, or see a participant’s actual reaction? Product close-ups may be filmed later. A first reaction cannot be recreated and still presented as the original moment.

Check the agreed scope before assigning work. Attendance, filming, asset delivery, and posting to a creator’s own account are separate tasks. OneCrew organizes creator worksheets and partnership emails. Keep the schedule, task scope, and confirmations together so the event team can work from what was actually agreed.

## Make the assignment usable on site

| Item | An actionable description |
| ----------------- | ----------------------------------------------------- |
| Key moment | The event and the action that must be visible |
| Time and position | When to be ready, where to film, and how to get there |
| On-site contact | Who gives the cue and handles position changes |
| Contingency | Who to contact if timing or visibility changes |

“Cover the product demonstration” is broad. “Capture the first start after installation and hold on the result” identifies something to check. That is an example of a useful instruction, not a universal shot requirement. Agree on the actual assignment and any necessary filming permissions.

Give each key moment a camera position and an on-site contact.

## Send each creator their own assignment

A shared run of show helps, but each creator also needs their task, arrival or ready time, and on-site contact. Have the event team check that the position works and that assignments do not clash. One person cannot cover two simultaneous moments in different places.

Record each creator’s assignment version and confirmation in OneCrew, then prepare a short email from the partnership context. When the schedule changes, notify the affected people and name the instruction that has been replaced.

> Please prioritize \[moment and action\]. Meet \[contact\] at \[position\] by \[time\] and use \[assignment version\]. \[Owner\] will communicate timing or position changes. Please confirm any additional filming request with us before expanding the agreed scope.

## Check delivery against moments, not file counts

After the event, ask creators to map their files or post links to the assignments. If an essential shot is missing, first check for another source you are authorized to use. Then discuss a revised edit or supplementary explanation. A staged replacement should not be described as the original first reaction.

When the on-site contact changes, use the [partnership handoff checklist](https://blog.onecrewai.io/en/creator-partnership-handoff/). This keeps the new contact from receiving only a calendar invite.

For the next event, begin in OneCrew with the moment, the assigned creator, and the on-site contact. Those details turn a confirmed attendance list into a workable coverage plan.
