Running a YouTube giveaway with a creator: who contacts winners and ships prizes?
Assign owners for winner notifications, secure delivery details, shipping, and exceptions in a YouTube creator giveaway. Includes a handoff email template.
The video is published and the winners have been selected. The creator assumes the brand will contact them. The brand is waiting for addresses. The warehouse has never received a shipping request.
The content is finished, but fulfillment has barely started. Before the giveaway begins, assign a named owner to each step after selection: notification, collection of necessary details, shipping, and exceptions. Define what each person hands over and what counts as completion.
Match the handoff to the giveaway rules
YouTube’s contest policy places responsibility on the organizer, requires official rules and prizes to be awarded as specified, and calls for a privacy notice explaining how collected personal data will be used. Other requirements include free entry. Review the full policy and applicable market requirements for the actual giveaway. YouTube contest guidelines
This article focuses on the operational handoff after a winner is selected. Start with the approved rules and make sure your staffing supports the promised notification method, response deadline, prize, and shipping area. If the rules say the brand will email winners, a last-minute comment from the creator is not the same arrangement.
OneCrew helps teams manage creator information and collaboration conversations. Find the recorded messages confirming responsibilities, then add the rules reference, named owners, and unresolved questions to the creator notes. Preserve the earlier collaboration history so anyone taking over can find the basis for the plan.
Give each step an owner and an output
The allocation below is a planning example, not a platform requirement that a particular party perform each job. Agree on the actual division of work before launch.
| Step | Name the person responsible for | Handoff to the next person |
|---|---|---|
| Confirming winners | Selection and checks under the rules | Winner identifiers, prizes, and verification result |
| Sending notifications | Contact through the agreed channel | Notification time and response deadline |
| Collecting delivery details | Receiving the necessary information | Checked details in the approved secure location |
| Shipping | Accepting and carrying out the fulfillment request | Confirmation that the task was accepted and its expected timing |
| Handling exceptions | Coordinating an unresolved issue | Issue, proposed action, and person who must confirm it |
| Closing the activity | Checking fulfillment results | Results and any remaining open items |
“The brand” is not a useful owner. Name a person or an accountable role with a contact, and decide who covers an absence. Notification sent, details received, warehouse request accepted, and parcel dispatched are four different facts.
Use OneCrew notes for the short division of work and current progress: “Notification with [contact]; shipping with [contact]; awaiting warehouse acceptance.” Keep the complete winner list and delivery details in the team’s approved location with access limited to those who need it.

Make the notification route clear
A winner should be able to identify the giveaway, prize, published response channel, deadline, and explanation of data use. Keeping the public instructions and actual contact method consistent also helps recipients recognize impersonators.
The following template is for the brand to confirm the plan with the creator. It is not a notification to a winner. Fill it in using the reviewed giveaway rules.
Subject: Confirming winner notifications and shipping for [giveaway]
Hi [name], before the results are announced, we’d like to confirm the fulfillment plan. Under [rules link/version], [notification owner] will contact winners through [published channel], with replies due by [date, time, and time zone].
Necessary delivery details will go to [authorized recipient] through [approved collection method]. The privacy information is at [link]. Please do not ask winners to post addresses in public comments.
Once the details are checked, [fulfillment owner] will confirm acceptance of the shipping request and arrange dispatch. [project owner] will maintain the notification and shipping status. For nonresponse, incomplete details, or delivery issues, please contact [person] so the next action can be checked against the rules.
Could you confirm that this division of work is correct and flag anything still missing? Thank you!
Review the recorded discussion in OneCrew and prepare this email for the confirmed creator contact. Ask them to resolve the gaps rather than repeating decisions already made.
Confirm that the warehouse accepted the job
Receiving an address does not start a shipment. The collection owner should check that the information needed for delivery is complete, then pass it through the approved route to the fulfillment team. Collect what the shipment actually requires, taking account of applicable requirements; avoid adding unrelated questions simply because a form is available.
The shipping handoff should contain the giveaway reference, prize model and quantity, access to the necessary delivery details, the promised arrangements, and an exception contact. Ask fulfillment to confirm that it has accepted the request and state the expected timing. A link dropped into a busy chat does not establish ownership.
The creator may need progress without needing every winner’s full address. Share the necessary status—awaiting details, handed to fulfillment, dispatched, or issue in progress. The designated contact should provide relevant delivery information to the winner.
Handle different exceptions differently
- No response: follow the published process and deadline. The designated owner decides the next step; do not quietly shorten the deadline or replace a winner.
- Incomplete details: have the collection owner explain what is missing through the agreed channel.
- Shipping cannot proceed: have fulfillment explain the reason and feasible options for the activity owner to confirm. Do not substitute a prize without checking the rules and required agreement.
- Transport problem: the person holding the shipment information contacts the carrier and updates the project owner.
Add the exception summary, next action, and owner to the creator’s OneCrew notes, with a reference to sensitive materials rather than copying them. Close the task when results are accounted for and any remaining issues have an explicit owner.
If a manager is coordinating the activity, see what to send after a creator’s manager replies and confirm responsibilities with the right contact.
Common questions
Can we close the campaign once the creator announces the winners?
Check the notification and fulfillment results first. Announcing, contacting, and delivering are separate steps. Apply the completion criteria in the actual rules and record unresolved issues.
Can winners leave their address in a comment?
Provide a suitable nonpublic channel for delivery details, explain who is collecting them and why, and keep the contact identity clear. Public comments are not an appropriate handoff for personal delivery information.
Before the next joint giveaway, open the creator’s record in OneCrew and name the notification, data collection, shipping, and exception owners. Then prepare the confirmation email. The plan needs to cover what happens after the audience hears that someone has won.
