From Watermarked Review to Final Creator Video: A Handoff Checklist

Separate creative approval, agreed handoff conditions and final receipt. Check the clean video against the approved version before publishing.

The robot checks a watermarked review cut against a clean final video

The team approved the video, but the person scheduling it still has a watermarked review copy. Content approval and final-file receipt are separate milestones. Identify the exact approved version, follow the agreed handoff conditions and check that the clean file matches what was approved.

A creator discussion about delivery and payment describes sending a watermarked preview for brand review. The practical lesson is not to adopt a particular payment percentage. It is to give approval, delivery conditions and final receipt their own clear records.

Name the version when approving it

Include a filename or link, a version date and the scope of the approval. “Picture and captions approved; final files pending” is more actionable than “Looks good.” If music, product details or captions still need checking, list those open items rather than marking the whole project complete.

OneCrew helps teams organize creator details, project tables and collaboration email. Keep the review link, current decision and outstanding files in the same project record. Then check the existing delivery arrangement before preparing the approval email. The colleague scheduling the content will know which file to request.

Record three milestones separately

  • Review decision: the approved version, approved elements and any remaining issues.
  • Delivery conditions: the steps already agreed between both sides, with the person responsible for confirming them.
  • Final receipt: the clean file’s link, name, specifications and review outcome.

Where payment or another handoff condition is already part of the agreement, verify its actual status. Do not introduce a new requirement at the last minute. If the conditions are disputed, clarify the difference in the original discussion rather than treating creative approval as proof that a separate financial step is complete.

Compare the final file with the approved review copy

Beyond checking the watermark, compare duration, shot order, narration, captions, music and the ending. A creator might export an older project or omit a caption while producing the clean version. A filename containing “final” is not enough to establish acceptance.

Check the aspect ratio and agreed export specifications as well. If something differs, identify the timecode and approved reference. Use the consolidated-feedback method to make corrections clear. New creative ideas should remain separate from this consistency check.

Write the review outcome back into the OneCrew project table and retain the connection between the approved preview and accepted final file. Label older previews as review records so they do not re-enter the publishing workflow by mistake.

A final-delivery confirmation email

Hi [Name], we have approved [picture, narration, captions or other confirmed elements] in [filename/review link]. The remaining items are [remove if none].

Following our agreed arrangement, once [agreed condition/time] is complete, please provide the clean file with the same approved content, using [agreed specifications] via [delivery method]. We will check it on receipt and confirm final acceptance.

A useful handoff says: use file A, approved against review B, checked on this date, for the uses already agreed. Keep the production file distinct from the review history and confirm the intended usage scope. Receiving a clean export does not itself establish permission for additional channels or advertising uses.

Start with a project marked “approved” in OneCrew and check whether it also has a final-file link and receipt decision. Complete that record before asking the publishing team to upload it.
