One video is due on Instagram, TikTok and YouTube. Receiving the export—or a message saying “posted”—does not complete publishing acceptance. Create a separate record for each platform, collect the actual link, and check the account, visibility, caption, sponsorship disclosure and next-step destination.

A TradeEasy recruitment comment specified vertical content for Reels, TikTok and YouTube Shorts cross-posting. It documents a scope requirement, not a missed-post incident. This workflow addresses verification after that cross-platform scope has already been agreed.

Separate file approval from publishing acceptance

An approved asset has a version. A verified publication needs a platform, account and post URL. A single “done” field hides missing posts as soon as the first platform goes live.

OneCrew helps organize creator email and maintain collaboration records. For the same creator and campaign, keep each platform’s link, check time and remaining action in its own table entry. Use synced replies to prepare follow-up drafts about the specific publication still needing attention.

Reuse the asset, but verify each publication separately.

Check five things on every platform

CheckWhat to verifyRecord
Account and assetThe agreed account and approved content versionAccount, post URL and version
VisibilityThe intended audience can access it as agreedViewing conditions, time and any restrictions
Caption and actionWording, mentions and the requested next stepDifferences needing correction
Commercial disclosureApplicable platform settings and disclosuresVerified result or outstanding confirmation
DestinationThe viewer can find the agreed next stepPlacement and test outcome

Note whether you are logged in and whether the content is processing, restricted or accessible to only some viewers. A screenshot can support a specific status, while a usable post URL and check time make later verification easier.

Verify disclosure separately for each platform

TikTok requires the relevant content disclosure setting for promotional content. YouTube requires creators to declare applicable paid promotions. Instagram requires a paid partnership label for qualifying branded content. Setting one platform’s label does not establish that the other two are configured.

Check platform settings alongside the disclosure requirements of the intended market. Mentioning a brand in a caption is not a substitute for every applicable disclosure. A partnership label and permission for the brand to run ads are also different decisions. This checklist covers the agreed organic posts; additional usage rights follow the separately agreed scope.

In OneCrew, attach each disclosure check to its platform record. If something is missing, prepare a focused message from the synced conversation—for example, asking only for the outstanding YouTube setting confirmation rather than requesting every asset again.

Follow up on the incomplete platform only

If a post fails, is restricted or cannot yet be published, record the observed issue, supporting screenshot and next update. Decide whether the next step is waiting for platform processing, revising something or discussing a new date. Two successful publications do not establish completion of a three-platform assignment.

Subject: Remaining publishing checks for [campaign]

Hi [name], we have checked [completed platforms and URLs]. For [outstanding platform], we still need [actual URL, visibility confirmation, caption change or setting confirmation].

Please update us by [time]. If processing or a platform restriction is preventing publication, send the specific issue and when you can next update us. We can then confirm whether the schedule needs to change. There is no need to resubmit the platforms already checked.

Keep a dated acceptance record

“Accessible when checked” has a time boundary. If the engagement includes a retention period, record any later checks and their owner separately. Initial acceptance does not guarantee future visibility. Update the record when captions, titles or destinations change.

If the platforms also need different aspect ratios, define the file scope with Need Landscape and Vertical Creator Videos? Plan Both Before Filming.

Start in OneCrew with one publishing entry for each platform, then prepare the missing-item follow-up. A video file can be reused; three publications still need three clear acceptance results.
