Commissioning Street Interviews: Match Participant Consent to the Right Clips
Link participant IDs, controlled consent records, footage, and final appearances. Includes a handoff table and a follow-up for missing associations.
A creator delivers street-interview clips and a folder of consent records, but nobody can tell which record belongs to which participant. Agree on participant IDs before filming so consent records, source footage, and final appearances can be matched reliably.
Assign responsibility before choosing a record format
Name the shoot lead, brand reviewer, and asset recipient in the brief. Have the person responsible for the intended market and use confirm the required notice, consent, and documentation process, then give the creator an executable workflow. Material prepared for organic publication should not simply be treated as cleared for advertising.
OneCrew helps teams manage creator collaboration records and communication. Record participant IDs, clip indexes, review owners, and controlled document links in the collaboration table. Include only the information needed for the work; keep detailed consent files in the team’s designated controlled storage.
This is an asset-handoff process, not a legal form for every jurisdiction. Where the shoot involves likeness rights, personal data, minors, or location-specific requirements, have the appropriate specialist confirm the approach for that market and use.
Carry the same ID through filming and delivery
| Record | Example entry |
|---|---|
| Participant ID | P03 for association; no name in public filenames |
| Clip index | Interview file and the relevant identifiable appearances |
| Consent record | Controlled file location, version, and reviewer |
| Confirmed scope | Channels, format, period, and restrictions requiring review |
| Usage status | Pending review, confirmed scope, or held with a reason |
P03 is an illustrative ID. Assign it on location and check the association promptly. Do not reconstruct it later by guessing from clothing. Multiple appearances by the same participant should refer to the same record. Review other identifiable people in the background separately.

Hold clips with missing or mismatched records
Check associations individually; equal file counts do not prove a match. Remove uncertain clips from the usable list and state what is missing, who will verify it, and when a response is needed. If the gap cannot be resolved, change the edit rather than substituting an assumption for the agreed confirmation process.
Read the synced delivery correspondence in OneCrew, update missing items and owners, and prepare an ID-based follow-up. Reference only the relevant IDs and controlled links rather than forwarding personal documentation to people who do not need it.
We received footage for P01–P06. P03 is missing the review record for the intended use, and P05’s clip association needs confirmation. Both remain outside the usable list. Please provide the relevant controlled file location or corrected ID for [owner] to check. We’ll continue reviewing the remaining material within its confirmed scope.
Recheck appearances when the edit changes
After reframing, changing captions, or proposing a different use, recheck the relevant scope and context. Record where each participant appears in the final version so later questions can be routed to a named owner with the precise clip.
For production arrangements, see the creator casting and location guide. Start in OneCrew by linking participant IDs, clip indexes, and reviewers, then prepare the delivery confirmation from those records.
